Member Education Reimbursement Policy
Purpose
West Seattle SC (WSSC) is committed to the continued growth and development of our players, coaches, volunteers, and families. As part of that commitment, WSSC offers educational reimbursement to support our members in completing courses that enhance the quality, safety, and joy of the game across our community.
Eligibility
Reimbursements are available to active WSSC members, including volunteers, players, parents, and guardians. A member is considered active if they are currently registered, or were registered within 60 days before or after the course completion date, for a WSSC seasonal program (Fall or Spring).
Approved Courses and Reimbursement Amounts
o WSSC will reimburse members—defined as players, registered family members, or registered volunteers—up to $50 per course, with a $150 maximum per seasonal year (August 1 – July 31).
o WSSC will reimburse registered coach volunteers up to $150 per course, with a $450 maximum per seasonal year (August 1 – July 31).

Courses from these providers that exceed the reimbursement limits, or any course from other providers, require written pre-approval from the WSSC Board. Requests should be sent to [email protected].
Any member or coach pursuing more advanced, higher-cost, or non-standard training is highly encouraged to reach out to the Board. We welcome the opportunity to consider additional support where it aligns with the club's mission and values.

For those unable to use bill.com, alternative arrangements (e.g., mailed check) must be requested in advance of course completion by emailing [email protected].
Appeals and Course Suggestions
- Members may appeal a denied reimbursement or suggest a new course for approval by emailing [email protected] using the subject line “Education Reimbursement Appeal.”
- Reimbursement Appeals must be filed no more than 30 days after receiving notice of a denial from the West Seattle Soccer Club Board.
- Course Suggestions and Appeals must include: the course name and provider, the cost, a brief statement of support explaining how it aligns with WSSC’s mission, and any supporting details (e.g. syllabus).
- The Board will review and respond within 6 weeks. Decisions are final for that season, but resubmissions are welcome.
Policy Review and Oversight
Reimbursements will be tracked through WSSC’s bill.com account to ensure transparency and good governance. A seasonal summary of disbursements may be shared with the Board for internal review and planning.
The WSSC Board reserves the right to revise, pause, or discontinue this policy at any time.
