FAQ

GENERAL FAQs

Q: How does it all work?
A: The Civitan Club of Hendersonville offers competitive spring baseball leagues for 6U, 8U, 9U, 10U, 11U, and 12U age divisions. Beginning each fall, a committee of experienced volunteers begin reviewing the rules for the upcoming season, and those rules are published on this website in January.  We will hold two in person sign-ups for players and prospective coaches (see the schedule below).  Practices will begin in mid-February and regular season games are played through the middle of May. From mid- May and through the end of May, each age division will have a postseason tournament.  At the conclusion of regular season & tournament play All- Star teams are formed and will represent our community in District, State, and Regional tournaments with the ultimate goal of reaching the Cal Ripken World Series. 

Q: Does the league provide uniforms?
A: The league provides a game jersey and hat for each player. The belts, pants, and socks can be purchased individually or as a team at discounted prices at Play-It-Again Sports Hendersonville. Coaches and/or team moms will provide order forms to each family for the belts, pants, and socks. For coaches, the league will provide 4 team hats and jerseys in 6U & 8U and 3 team hats and jerseys for our coaches in 10U & 12U. Only coaches that sign up for their role will receive a jersey. 

Q:  When can I sign up my child to play baseball?
A:  The Enrollment page goes live on December 1st, 2024. Please sign up early so we can begin identifying the number of teams and coaches we'll need. On January 20th, a $15 NON-REFUNDABLE late signup fee will be added to any order. Signups close on January 31, 2025. Once signups are closed, players will be added to a waitlist. Although we'll do our best to place players from the waitlist on a team, there are no guarantees it'll happen.

Note: If an age division reaches max capacity prior to publicized registration deadline, Civitan will close registrations early for that division resulting in a wait list registration. To avoid the risk of a wait list registration (& late fees), we encourage you to sign up in December.

Q:  If my child is unable to play, can I get a refund?
A:  Civitan refund policy is based on the following criteria:
Withdrawal from the league prior to uniforms being ordered will result in a $20 cancellation fee. 
Withdrawal from the league after uniforms are ordered but prior to the start of games will result in a $75 cancellation fee. 
No refunds will be issued once games have begun; however, Civitan still needs to be notified if your player is no longer participating. 

Note:
 Sports Connect charges a NON-REFUNDABLE $3 processing fee to all orders. Civitan does not include this as part of your player fees. It is an order processing fee and as such it is not included in your refund.

Q: What happens if I enroll my child after signups close?
A:  The player is placed on a wait list, and you are not charged the entry fee until the player is placed on a team. We'll do our best to place the player on a team, but there are no guarantees it'll happen.

Q:  Which age division will my child play in?
A:  A child's playing age is determined by how old they will be on April 30th of the year in which the season is to be played.

Example: Player is 6 years old on or before April 30th, that player is considered a 6-year-old. If the player turns 6 on May 1st or after, that player is considered a 5-year-old. All 4-year-old players will count as 5-year-old players for the purpose of filling rosters.

6U Community FAQs

Q: How many practices and games should I plan for each week?
A: When practices start in February, parents should plan for two practices per week until the season begins on March 17, 2025. After the season starts, practices are typically limited to one per week. The regular season schedule is structured for each team to play one game during the week and one game on the weekend.

Note: Due to the potential for weather related postponements, a coach may plan for additional practices on top of those already scheduled by the league. Additionally, the game schedule could be changed to create doubleheaders on the weekend in order to make up games.  

Q: How are teams formed? 
A: Returning players to 6U from 2024 spring baseball are NOT REQUIRED to return to their same team(s). Returning players can request to be on a different team or with a different coach or re-enter the league draft.

Note: For 6U, the league will honor team and/or coach requests from parents. Parents will be required to make the request during signups or email one of the age division commissioners with the request. If a team has more requests than spots available, the head coach will determine the final roster. Please see the (2025 Rules Coming Soon) for the maximum number of players allowed from each age per team. Players that aren’t requesting to play for a specific team or coach, or are too late with their request, will be assigned to their team during the league draft.

8U Community FAQs

A: Returning players to 8U from 2024 spring baseball are NOT REQUIRED to return to their same team(s). Returning players can be protected by a team or re-enter the league draft. 

B: Each team will be allowed 4 player protections. The remainder of the roster will be filled during the league draft. A PROTECTED Open Division player that also participates in the Community Division will count as 2 player protections. Draft day & time are TBD.

C: All unprotected players (new and returning) will be required to attend player evaluations. Evaluations day & time are TBD.

10U Community FAQS

8U. 9U, 10U, 11U, and 12U Open FAQs 

Q: What are the Open Divisions?
A: The league offers a playing division across five age groups- 8U, 9U, 10U, 11U, and 12U. These teams will play midweek single games or double headers throughout the spring and each team will be made up of advanced level players.

Q: How are teams formed?
A: The Open Divisions are “bring your own team," divisions. This means these teams will have their rosters completed at the time signups open. The head coach or team manager from each team will sign the team up and then email a team code & link for each player to be signed up. The team code will route those players to their team at the completion of their signup.

Q: What if my child wants to play in the Open Division, but isn’t already on an open team roster?
A: They would not be able to sign up individually and play in the Open Division. Instead, they would sign up for the Community Division and request a team or coach to play for or be assigned to a team through the league draft.
