Content

Board of Directors - The Association shall be governed by a Board of Directors including executive officers. Voting members of the Board will be as follows.

(a)      President

(b)     Vice President

(c)      Treasurer

(d)     Secretary

(e)      Cheer Coordinator

(f)      Football Coordinator

(g)     Fundraiser Coordinator

(h)     Digital Media Director

(i)       Registration Coordinator

(j)       Recruitment Coordinator

(k)     Facility Director

(l)       Scholastic Director

 

Duties of officers

 

 

President

·  The President shall be the chair of meetings of the Board.

·  The President will serve as the spokesperson for the Association and provide for the operation of the Association.

·  Shall make appointments with the approval of the board to fill special needs of the Association.

·  Confirm all staff has completed a yearly background check.

·  Confirm on a yearly basis all equipment/uniforms football/cheer meet all safety requirements, and any guidelines implemented by Pop Warner Nationals.

 

Vice President

·  Will perform duties assigned by the Board of Directors.

·  Perform duties of the President if the President is unavailable or incapacitated.

·  Review balanced bank statements and financial reports each month and initial them for permanent record.

·  Develops a procedure/system to expedite claims from participants.

·  Coordinate and oversell book checks and player certification.

·  Is expected to be knowledgeable of all local and national rules.

 

Secretary

·  Record minutes of regular meetings of the Board and those special meetings that may be called.

·  Prepare a copy of approved minutes for Pop Warner National.

·  Schedule facilities for regular Board meetings and send reminders to all board members not less than one calendar week prior to each meeting.

Treasurer

·  Will maintain accurate accounting of all disbursements and receipts and provide financial reports for the review and approval of the Board.

·  Provides one copy of financial statements to all members of the Board each month.

·  Collects and Disburses funds in accordance with the financial policy or with approval of the Board of Directors

 

Cheer/Dance Coordinator

·  Supervise all business affairs related to Cheer/Dance program of the Association and any other duties as expressed in these By-laws

·  Provide the primary communication link between Cheer coaches and League Cheer/Dance Coordinator and/or the Board.

·  Coordinate and oversee the placement of cheerleaders and/or dancers with respect to age and skill requirements

·  Coordinate and work with Cheer and Dance Coaches to ensure that all rostered coaches have completed adequate training programs and have appropriate documentation related to the first aid and CPR training.

·  Shall be involved with all parental concerns/issues, and address as necessary on the chain of command and report back to the Board.

·  Oversee all cheer purchases including but not limited to association owned uniforms, poms, bows, etc..

·  Create yearly budget and recommended dues. Present and obtain board approval no later than February 1st each year.

·  Manage yearly budget to ensure no overages.

·  Approve all Cheer documents and submit as requested.

·  Facilitate all Cheer Camps/Clinic including but not limited to: Conditioning, skills, and/or retention. Recruitment clinics should be coordinated with the recruitment coordinator.

 

Football Coordinator

·  Supervise all business affairs related to football program of the Association and any other duties as expressed in these By-laws

·  Provide the primary communication link between football coaches and the Board.

·  Coordinate and oversee the placement of football players on teams.

·  Coordinate and work with Football Coaches to ensure that all rostered coaches have completed adequate training programs and have appropriate documentation related to the first aid and CPR training.

·  Shall be involved with all parental concerns/issues, and address as necessary on the chain of command and report back to the Board.

·  Oversee all football purchases including but not limited to association owned uniforms and equipment.

·  Create yearly budget and recommended fees. Present and obtain board approval no later than February 1st each year.

·  Manage yearly budget to ensure no overages.

·  Approve all Football documents and submit as requested.

·  Facilitate all Football Camps/Clinic including but not limited to: Conditioning, skills, and/or retention. Recruitment clinics should be coordinated with the recruitment coordinators.

 

Fundraiser Coordinator

·  Supervise all business affairs related to fundraising of the Teams/Association and any other duties as expressed in these By-laws.

·  Coordinate and oversee the T-Shirt Sponsorship Program.

·  Assist teams/coaches with fundraising efforts and goals.

·  Create yearly plan and recommendations for association fundraising plan. Present and obtain board approval no later than February 1st each year.

·  Ensure compliance of the Fundraiser Policy.

·  Approve all Fundraiser documents and submit as requested.

·  Plan and organize end of year association celebration.

 

Digital Media Director

·  Supervise all business affairs related to website and social media pages of the Teams/Association and any other duties as expressed in these By-laws

·  Coordinate and oversee the website and content.

·  Collect and prepare content for online.

·  Create yearly budget and recommendations for association advertising plan, coordinating with other board members. Present and obtain board approval no later than February 1st each year.

·  Manage yearly budget to ensure no overages.

·  Coordinate with schools to ensure flyers are distributed.

 

Registration Coordinator

·  Supervise all business affairs related to registration of the athletes and any other duties as expressed in these By-laws

·  Coordinate and oversee the registration process.

·  Plan and organize registration events.

·  Create yearly budget and recommendations for association registration coordinating with other board members. Present and obtain board approval no later than February 1st each year.

·  Manage yearly budget to ensure no overages.

·  Plan and organize a season kick event “Meet the Hawks”

 

Recruitment Coordinator

·  Supervise all business affairs related to recruitment of athletes/coaches and any other duties as expressed in these By-laws

·  Coordinate and oversee the recruitment process.

·  Plan and organize recruitment events/Campaigns.

·  Create yearly budget and recommendations for association recruitment coordinating with other board members. Present and obtain board approval no later than February 1st each year.

·  Manage yearly budget to ensure no overages.

·  Coordinate all parade participation.

 

Facility Director

·  Supervise all business affairs related to facilities and any other duties as expressed in these By-laws

·  Coordinate and oversee the facilities operated by the association.

·  Plan and organize class/events/etc. to fund the facilities.

·  Oversee all scheduling of facilities operated by the association.

·  Oversee maintenance of all facility building and equipment.

·  Oversee procurement of all new supplies/equipment used in the association operated facilities.

·  Create yearly budget and recommendations for association facilities coordinating with other board members. Present and obtain board approval no later than February 1st each year.

·  Manage yearly budget to ensure no overages.

 

Scholastic Director

·  Supervise all business affairs related to scholastic eligibility and any other duties as expressed in these By-laws

·  Ensure that each participant is academically eligible to participate by reviewing every participant’s report card and forwarding reports concerning All-American for Little Scholars application.

·  Oversee all celebrations of scholastic performance.

·  Collect and submit all applications for those athlete’s that qualify for All-American.

·  Collect and review grade cards of those athlete’s that require scholastic eligibility for post season play.

·  Create yearly budget and recommendations for association scholastic. Present and obtain board approval no later than February 1st each year.

·  Manage yearly budget to ensure no overages.
