Fees, Refund, and Policies Contract

Payment Options and Schedule:
Total Futbol Academy San Diego extends the option of an installment payment plan through credit card transactions via our online registration service, Sports Connect, for player fees as a matter of convenience. Players have the choice to enroll in an installment plan, with the final payments to be concluded by June 1, 2024. Each installment payment made via credit card incurs an additional $5.00 processing fee, in addition to a $3.00 Sports Connect processing fee. This composite fee accounts for processing charges imposed by Stack Sports and credit card companies and is non-refundable.

For players affiliating with the club before June 1, 2024 both player fees and payment plans must be settled in their entirety by June 1, 2024. Failure to comply with this requirement will result in the withholding of player ID's, thereby preventing participation in the Fall SoCal season until outstanding funds are remitted.

Refund Policy:
Total Futbol Academy San Diego is committed to maintaining a well-defined refund policy. The non-refundable nature of the registration fee is established, as the acceptance of a player onto a team precludes opportunities for other players. Exceptions to this policy arise only in instances where the club cannot facilitate team formation. In such cases, the registration fee becomes fully refundable. Immediate costs incurred by the Club, including field costs, insurance, coach training and licensing, league fees, and operational expenses, are contingent on player headcount.

Player fees for club participation encompass the entire soccer year, and acceptance of an invitation to join the Club signifies a commitment to fulfilling the entire fee for the full soccer year. Refunds for player fees will be granted if a team cannot be formed or if a child cannot be placed on a team. Credit card transaction refunds will be subject to a $25 processing fee.

Special Circumstances for Refunds:
The club recognizes specific circumstances where partial refunds may be considered:

  • Season-ending injuries or illnesses, substantiated by documentation from the treating physician or facility.
  • Families relocating more than 20 miles away from the Total Futbol Academy Club after payment and before the league season concludes.

Refundable amounts are time-sensitive, influenced by the date of the refund request, not the event date. In refund considerations, 50% of the annual club fee is reserved for club overhead costs and is non-refundable. Only payments exceeding 50% of the annual club fee are eligible for a refund.

Requests for refunds based on the above criteria must be submitted in writing to the Chapter Register via email at [email protected]. Allow 30 days for the processing of refunds.

Mid-Season Departures and Scholarship Commitments:
Total Futbol Academy's payment plan remains in effect for the entirety of the soccer year. Should a player choose to leave the club mid-season, the financial commitment must still be fulfilled. Player ID's will not be released if outstanding funds, including the value of any offered scholarship, remain due to the club.

Payments In Arrears:
In the event of non-payment of registration fees, a $25 late fee will be assessed five days after the payment due date. Players in arrears for Club registration fees, Tournament/League Fees, or coaching fees may face suspension from play until all accounts are brought current. Parents with accounts in arrears exceeding 30 days may be subject to involuntary removal from the club.

Player and Parent Code of Conduct:
As valued members of our team and club, both players and parents play a pivotal role in shaping the collective identity of not only themselves but also their team and the broader Total Futbol Academy San Diego organization. To foster a positive and collaborative environment, we expect the following standards of conduct:

Adherence to Established Rules:
Conform to both team-specific regulations and those set forth by Total Futbol Academy San Diego.

Respect for Coach's Authority:
Display respect for the coach's decisions and diligently adhere to their instructions.

Exemplary Behavior:
Exercise appropriate conduct during practice sessions, games, team or club-sponsored events, tournaments, and travel activities.

Communication Protocol:
Adhere to Total Futbol Academy San Diego's 48-hour rule concerning communications, allowing for thoughtful and measured exchanges.

Commitment to Attendance:
Attend practices, games, and tournaments as committed by your team.

Adherence to Travel Protocols:
Comply with the team or Total Futbol Academy San Diego’s travel rules, including participation in team meals, adherence to travel schedules, and compliance with hotel room assignments.

Respectful Treatment:
Interact respectfully with teammates, Total Futbol Academy San Diego members (including parents and family), opponents, coaches, referees, and other officials.

Responsibility for Equipment and Facilities:
Demonstrate responsibility by caring for your uniform, equipment, and the facilities used.

  Spectator Conduct During Games:
Coaching by parents or other spectators is strictly prohibited.
Sideline instructions or complaints directed at players or officials during or after a game are not permitted.
Positive vocal support and encouragement are appreciated, while specific instructions such as "Shoot!" or "Pass it!" are discouraged, as they may contradict the coach's instructions.

  Voice of Authority:
Only members of the coaching staff are authorized to provide guidance and instructions during games and practices. 
No individuals, apart from those listed on official game rosters or club administrators, are allowed to occupy or be in close proximity to the team bench during games.

Respect for Privacy and Space:
Parents and spectators are urged to respect the necessary space and privacy required by coaches and teams to fulfill their game responsibilities.

Understanding of Soccer Rules:
Recognize the potential consequences, such as coach ejection or team forfeiture, based on the conduct of a player, parent, or spectator as dictated by soccer regulations.

Ethical Conduct in Interactions:
Interact with coaches and Total Futbol Academy San Diego staff in an ethical manner, refraining from exerting undue influence over coaching decisions. 

  Adversarial Communication:
Under no circumstances should Total Futbol Academy San Diego parents engage in berating, yelling at, disparaging, or adversarial communication with referees, opposing players or coaches, Total Futbol Academy San Diego players, coaches, or parents.

Communication Protocol:
Parents and players are encouraged to communicate with the coach and ask questions, ensuring that such interactions occur at appropriate times.
Players are particularly encouraged to express themselves and communicate independently whenever possible.
Total Futbol Academy San Diego supports player-coach or player-parent-coach conferences during suitable times throughout the year.
Coaches provide an annual written evaluation for each player, fostering open communication channels.

It is imperative that all Total Futbol Academy San Diego participants, including parents, uphold these standards to foster a positive and constructive sporting environment. Failure to adhere to these guidelines may result in penalties as detailed in the No Tolerance Policy.

By embodying these principles, players and parents contribute to a positive and harmonious environment within the TFA-SD community, ensuring that our collective actions align with the values of respect, responsibility, and sportsmanship.

Effective Communication Protocol
In the event of challenges or concerns requiring resolution, Total Futbol Academy San Diego has established a structured communication policy for both players and parents. To ensure a thoughtful and constructive approach to conflict resolution, we emphasize the importance of adhering to the "48-Hour Rule.”

48-Hour Rule:
All parents and players are required to observe the 48-Hour Rule, which entails allowing a minimum of 48 hours to pass before initiating communications following the emergence of a problem. This deliberate pause encourages reflection and fosters a more composed and effective dialogue.
If, after the designated 48 hours, the matter still necessitates attention, the following steps should be followed:
  • Discuss with the Coach:
  • Initiate a conversation with the coach to address the concern. The goal is to seek resolution at the initial level of interaction.
  • Assistant Director of Coaching:
  • If the issue persists, engage in a discussion with the Assistant Director of Coaching relevant to the player's age group. Their insights and guidance aim to facilitate resolution.
  • Director of Coaching:
  • Should the matter remain unresolved, escalate the discussion to the Director of Coaching. This step ensures that a more comprehensive perspective is considered in the resolution process.
  • Club President:
  • In rare instances where resolution is not achieved through the above channels, the matter can be brought to the attention of the Club President. Their role involves overseeing the overall club dynamic and addressing issues that require a higher level of intervention.
This structured approach to communication ensures that concerns are methodically addressed at different levels within the organization, promoting an atmosphere of understanding and cooperation. We appreciate the commitment of our parents and players to uphold this communication protocol for the betterment of the entire TFA-SD community.

Athletic Field Etiquette Guidelines

The utilization of any practice facility is regarded as a privilege, and in doing so, it is imperative to observe the following rules (subject to additions or amendments with due notice):

Mindful Driving:
Operate vehicles at a reduced speed, ensuring a safe and secure environment for all.

Reserved Parking:
Exclusively park in designated areas. For clarification, seek guidance if uncertain.

Compliance with Parking Attendants:
Adhere to the instructions provided by parking attendants, demonstrating cooperation for efficient management.

Pedestrian Right of Way:
Yield the right of way to pedestrians, promoting a safe and respectful coexistence.

Preservation of Irrigation Equipment:
Maintain a safe distance from irrigation equipment to prevent any inadvertent damage.

Designated Practice Areas:
Confinement to specified practice areas is required to optimize field usage.

Responsible Disposal and Cleanliness:
Demonstrate environmental responsibility by disposing of trash properly and contributing to the upkeep of a clean practice area.

In recognition of the unpredictable nature of athletic activities, you commit to indemnify and hold harmless Total Futbol Academy San Diego its officers, directors, employees, and agents from any incidental damage to your property arising from parking lot conditions, misdirected soccer balls, or any activities associated with the athletic fields.

By conscientiously adhering to these guidelines, you contribute to fostering a secure, organized, and respectful environment for all participants and uphold the privileges granted for field usage.

Violations and Accountability Procedures

For most minor infractions of the Player and Parent Agreement, resolution will typically occur at the team level. However, in cases of serious or unresolved violations, it is imperative to follow the outlined procedure:

  • Initial Reporting:
  • Report serious or unresolved violations initially to the Director of Coaching, who will assess the situation and involve the Executive Board for Total Futbol Academy San Diego if necessary.
  • Administrative Review:
  • An Administrator appointed by the Executive Board will conduct a comprehensive review of the situation. The findings will then be presented to the Executive Board, which will make the final determination regarding any necessary actions.
  • Range of Actions:
  • Available options for corrective action include, but are not limited to, a caution or warning, a requirement for a personal apology, probation, service work, suspension from playing or attending games, a hearing to establish relevant facts, or, as a final step, expulsion from Total Futbol Academy San Diego in accordance with US Club procedures.
  • Hearing Process:
  • In specific situations, including the removal of a player from Total Futbol Academy San Diego, both the parent and the player may be required to attend a hearing before a committee appointed by the Total Futbol Academy San Diego Executive Board.
  • Individual Accountability:
  • As a member of Total Futbol Academy San Diego, each individual is responsible for their own actions and will be held accountable accordingly.
  • Acknowledgment of Rules:
  • It is recognized that ample opportunity has been provided to comprehend and seek clarification on these rules. By participating in Total Futbol Academy San Diego, individuals agree to abide by the policies and rules outlined in this agreement.

Electronic Execution:
This agreement will be executed electronically during the registration process.
By adhering to this structured process, we ensure a fair and transparent approach to addressing violations within the Total Futbol Academy San Diego community, fostering a sense of accountability and maintaining the integrity of our shared commitments.


Release of Liability:
I understand that there are risks involved with my child’s participation in the Total Futbol Academy San Diego competitive soccer.
I hereby authorize the directors of Total Futbol Academy San Diego to act for me according to their reasonable judgment in any emergency requiring medical attention. I hereby waive and release the directors of Total Futbol Academy San Diego from all liability and agree to accept all medical expenses incurred. I know of no physical or mental problem that will affect my child’s ability to safely participate in these tryout sessions. I acknowledge and accept the conditions above with my signature below.
The risk to have direct or indirect contact with individuals who have been exposed to and/or diagnosed with one or more communicable diseases, including but not limited to COVID-19 or other medical conditions, diseases, or maladies, and/or any mutation or variation thereof does exist and it is impossible to eliminate the risk that I, or my child, could become infected through contact with or close proximity to an individual with a communicable disease. Contracting the COVID-19 may result in serious health issues for the participant and/or individuals the participant subsequently comes into contact with, and while particular rules, equipment, and personal discipline may reduce the risk of contracting the virus, the risk can never be completely removed;.
I KNOWINGLY AND FREELY ASSUME ALL SUCH RISKS ON BEHALF OF MY CHILD, both known and unknown, EVEN IF ARISING FROM THE NEGLIGENCE OF THE RELEASEES or others, and assume full responsibility for my participation.
I certify that my child is in good health, and may participate in strenuous physical activities at the tryouts. I certify that there are no physical limitations to my child’s participation in the camp. Permission is granted for my child to receive emergency medical treatment if needed. I hereby release and forever discharge Total Futbol Academy San Diego and all their agents, employees and affiliated entities from any and all liability, claims, demands, and cause of action for personal injury, infection, or death, property damage, and/or other loss suffered by my child in connection with his/her participation in the tryouts. I acknowledge and accept that this Release and Waiver is intended to be binding on the family, estate, heirs, executors, administrators and assigns of the minor named above. I further acknowledge and accept that this Release and Waiver is intended to be as broad and inclusive as permitted by the laws of California and agree that if any portion of this release and Waiver is invalid, the remainder will continue to be in full force and effect. I agree that this Release and Waiver binds the minor and me to all of its terms.

Photo Release:
I hereby grant permission to Total Futbol Academy San Diego and its legal representatives, assigns, and those acting on its behalf, to use any picture, video or audio recording of my child taken in connection with the tryouts for all manner of advertising, trade, promotion, exhibition, or any other lawful purpose related to youth soccer whatsoever and in any form or medium.
